Class Notes

We could start with General Info for using MS Access with Banner but, we are going to skip to
Using SQLPass-Though Queries for Banner Reporting
.

Other Important Things for Success with MS Access.
1.  Disk Defragmentation - is important enough to spend under $50 for an automatic solution, Diskeeper 9 Professional Edition.
2.  Without frequent defragmentation of your hard drive, your computer will soon slow down noticeably.
3.  MS Access dramatically increases the need to defragment your hard drive.
4.  A crippled version of Diskeeper is built into Windows.

Just do this when you leave for lunch (but don't expect it to be done when you return):

Start>All Programs>Accessories>System Tools>Disk Defragmenter
Highlight the C: Drive
Select Defragment

You will not want to have this "free" built-in version running while you are trying to use your computer.  You can Pause or Stop it.

5.  In your MS Access Database (i.e., BannerAccess.mdb) make sure on the Menu Bar Tools>Options>
under the General Tab, that "Compact on Close" is checked.

(An MS Database can easily double in size each time you open it unless you use "Compact on Close".)

6.  Your BannerAccess.mdb should be in your "My Documents" Folder. This is MS Access' preferred location; don't fight it.

Tricks you can use:
1.  Start BannerAccess using your "Run BannerAccess" Desktop Shortcut. This runs a special batch (.bat) file that sets up your connection to Banner.
If your Logon fails and you are sure that the ID and Password were entered correctly, then close BannerAccess and "Run BannerAccess" again.
2.  If you want to switch to a different BannerAccess (yes, some of you have several), you probably can do so without using the Shortcut.
Just Double-Click on the .mdb (MS Database).  But, the best way is to create a separate .bat file which I can help you do.
3.  "Refresh BannerAccess" will save your current BannerAccess.mdb to BannerAccess-1.mdb for up to nine versions.  The refreshed copy will be copied from the File Server the standard or default BannerAccess.mdb.  This is not likely what you have been using unless you are just beginning to use BannerAccess.  You can always copy BannerAccess-n.mdb and Save As BannerAccess.mdb.
4.  You need an Object from the other database or from a SavedObjectsForBannerAccess.mdb, then you have two options.
     a. Switch to the Source database and Export to the Destination database - this will automatically deleted any old object.
     b. In the Destination database, rename the old Object and Import the replacement Object.

(Warning:  Export automatically deletes your old Object.  Import can be confusing: If you Import an Object that already exists, then the new Object will be OldName+counter.  So, instead of replacing OldName with the new Object, the new Object would be OldName1, OldName2, ... incremented each time you re-Import the Object.  Not what you want.)
